Executive Assistant

Spherion has partnered with a large nonprofit in the Brazos Valley, seeking an C-Suite Assistant. The purpose of this role is to provide support for a team of executives to maintain schedules, assist with travel arrangements, and bring organization to the team.
Responsibilities

Executive Support: Manage complex calendars, coordinate meetings, and organize travel arrangements for C-Suite executives. Communication Management: Act as a liaison between the executives and internal/external stakeholders, handling correspondence, calls, and emails with professionalism and confidentiality. Meeting Coordination: Prepare agendas, take minutes, and ensure follow-up on action items for executive meetings and board presentations. Document Management: Draft, proofread, and distribute reports, presentations, and correspondence. Event Planning: Organize corporate events, off-site meetings, and team-building activities as required. Project Assistance: Support special projects and initiatives led by the C-Suite, ensuring timely completion and alignment with organizational goals. Office Management: Oversee office supplies, maintain filing systems, and ensure the executive workspace runs smoothly. Confidentiality Maintenance: Handle sensitive information with the utmost discretion and adhere to company policies regarding confidentiality.

Required Skills

Education: Bachelor’s degree in Business Administration, Communications, or a related field (or equivalent experience). Experience: Minimum of 5 years of experience supporting senior-level executives, preferably in a C-Suite environment. Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual collaboration tools such as Zoom, Teams, or Slack. Communication Skills: Excellent written and verbal communication abilities. Organizational Skills: Strong time-management skills and attention to detail, with the ability to multitask and prioritize effectively. Interpersonal Skills: Professional demeanor and ability to interact with diverse groups of people, including high-level executives and external partners. Problem-Solving: Proactive and resourceful approach to anticipating needs and resolving issues independently.

Preferred Skills

Experience with project management tools (e.g., Trello, Asana). Familiarity with CRM software such as Salesforce. Prior experience in a corporate or high-growth environment. Knowledge of office management best practices. Certification such as CAP (Certified Administrative Professional) is a plus.
